Overseas Commemorations – Privacy Notice

  1. The Department of Veterans’ Affairs (DVA) is responsible for organising certain commemorative events (Commemorations). To attend a Commemoration, a person must have an attendance pass or an official invitation. DVA is bound by the Privacy Act 1988 (Cth) (Privacy Act), including the Australian Privacy Principles (APPs) contained in Schedule 1 with respect to the collection, use and disclosure of personal information. This Overseas Commemorations – Privacy Notice (Notice) contains information relating to personal information collected in connection with applications for attendance passes for Overseas Commemorations. In this Notice, Information means all information (including your personal information, such as your name and address) that you provide (on your own behalf or on behalf of another person) in relation to the Overseas Commemorations. Information may be provided through the online registration and accreditation system (see section 4 below) or directly to DVA.
  3. Online applications for attendance passes may be made by a person on their own behalf, or on behalf of another person. If you are applying on behalf of another person, you are required to bring this Privacy Notice and the Event and Attendance Pass Terms and Conditions to that person’s attention. You must have their permission to act on their behalf in making this application.

Collection of your personal information

  1. DVA has contracted Ticketek Pty Ltd (ABN 92 010 129 110) to provide an online registration and accreditation system for issuing attendance passes The information that you provide (on your own behalf or on behalf of another person) using the online registration and accreditation system will be collected and held by Ticketek Pty Ltd in accordance with their obligations under their contract with DVA and Ticketek’s Privacy Policy. This includes the requirement to delete or destroy personal information once its contract with DVA has ended. Please note that all Information provided to Ticketek Pty Ltd will also be provided to DVA.
  2. Applications made over the phone will be received by DVA directly. Information that you provide to DVA (on your own behalf or on behalf of another person) may also be provided to Ticketek Pty Ltd for the purposes of determining eligibility to attend the Overseas Commemorations and issuing attendance passes for the Overseas Commemorations.

Use and disclosure of your personal information

  1. DVA and Ticketek Pty Ltd will collect and use your personal Information for the following primary purposes (Purposes):
    • determining eligibility to attend the Overseas Commemorations;
    • issuing attendance passes for Overseas Commemorations; and
    • if you (or the person on whose behalf you are applying) are successful, in securing an attendance pass, for all matters relating to the management and delivery of the Overseas Commemoration which may include consular, diplomatic, law enforcement and security-related activities.
  2. DVA and Ticketek Pty Ltd may use your Information for secondary purposes related to the above [or for other purposes where you have consented] or where DVA is authorised or required by law. Please see DVA and Ticketek’s Privacy Policies for further information regarding how personal information may be used and disclosed.
  3. DVA may disclose the Information to relevant government agencies in Australia, France and Türkiye, including law enforcement and security agencies, for the purpose of law enforcement and security related activities to ensure the safety and security of attendees.
  4. DVA will take reasonable steps to ensure that all overseas recipients of your Information will comply with the APPs when handling the Information, or similar personal information handling standards.
  5. The Information will be stored by DVA and will be destroyed in due course in accordance with the Archives Act 1983 (Cth). DVA’s Privacy Policy contains more information about DVA’s privacy practices, including information about how you may access your personal information held by DVA, seek correction of that information and make any complaints. If we do not collect your personal information

  1. Participation and attendance at the Commemoration is entirely voluntary. You are under no obligation to provide the information requested or consent to its disclosure as outlined in this Notice. However, if you do not agree with this Notice and also accept to be bound by the Event and Attendance Pass Terms and Conditions, You, or the person on whose behalf you are applying for an attendance pass, will not be able to receive an attendance pass.
